In plain words
- These terms are an agreement between a school (or the person registering it) and School ERP.
- Your school’s records are yours. We only use them to run the service for you.
- Every plan starts with a free trial. Launch prices apply for the number of years shown on the plan.
- We back up the service every night, but please keep your own copies of anything very important.
1. Agreeing to these terms
By registering a school or using School ERP, you agree to these terms and to our Privacy Policy. If you register on behalf of a school, you confirm that you are allowed to do so. If you do not agree, please do not use the service.
2. The service
School ERP is a web-based system that helps schools manage admissions, students, fees, attendance, academics, staff, payroll, transport, store, accounts, reports and more. The modules available to a school depend on the plan it chooses. We keep improving the service, so features may change over time.
3. Your account and security
- The school is responsible for the people it creates accounts for and for what they do in the service.
- Keep passwords private and give each person their own username. Please remove or change access when someone leaves the school.
- Tell us promptly if you think an account has been misused.
4. Your school’s data
- It is yours. The school keeps all rights to the records it puts into the service. We do not claim ownership of them.
- Our permission to handle it. You allow us to store, process, back up and display your records only as needed to run the service for you, as described in our Privacy Policy.
- Your responsibility. The school must have the right to collect and use the information it enters, including information about children, and must keep it accurate and lawful.
- Getting it back. You can ask us for a copy of your school’s records at any time, including when you stop using the service.
5. Acceptable use
Please do not:
- use the service for anything unlawful, harmful or misleading;
- try to get into another school’s records or into parts of the service you have not been given access to;
- try to break, overload, copy or reverse-engineer the service, or interfere with its security;
- upload harmful software or content you have no right to use.
We may suspend access if these rules are broken, and we will tell you why where we reasonably can.
6. Trial, plans and fees
- Free trial. A new school can try the service free for the trial period shown when registering. No card is needed to start.
- Plans and prices. Plans, what each includes, and prices are shown in the pricing section of our website and may be updated from time to time. Amounts are shown in Indian rupees (₹) per year unless we say otherwise, and taxes, if any apply, are in addition.
- Launch pricing. Where a plan shows a launch price, that price applies for the number of years stated on the plan, starting from when the school subscribes. After that period the plan continues at its regular price shown alongside. We will not raise a school’s launch price during that period. Plans are paid yearly: you are not required to pay for several years in advance.
- Paying. We will agree how and when to pay with the school before any charge. If a subscription is not renewed, we will give notice before the account is closed.
7. Backups and your own copies
We make automatic nightly backups of the service so records can be recovered after a technical fault, as explained in the Privacy Policy. Schools can also choose to save their own daily copy to their own Google Drive. Backups are a safety net, not a guarantee, so please keep your own copies or printouts of anything you could not afford to lose, such as final accounts or certificates.
8. Availability and support
We work to keep the service available and to fix problems quickly, but we cannot promise it will always be uninterrupted or free of errors. We may need to take it offline briefly for maintenance. Support is available through the contact details below.
9. Third-party services
Some features work with services from others, such as Google Drive for optional backup copies. Those services have their own terms, and your use of them is up to you. If you connect one, you confirm you are allowed to, and you can disconnect it at any time.
10. Ending your use
- You can stop using the service at any time and ask us for a copy of your school’s records.
- We may suspend or end an account that breaks these terms, or that has not been paid for after the school has been given a fair chance to put things right.
- After an account ends, we remove the school’s records from the live service and from backups as they expire, as explained in the Privacy Policy.
11. Our responsibility
We provide the service with reasonable care and skill. To the fullest extent the law allows, the service is provided “as is”, and we are not responsible for indirect or consequential losses, or for loss caused by things outside our reasonable control, such as internet or power failures, or by information that the school entered incorrectly. Our total responsibility for any claim is limited to the amount the school paid us for the service in the 12 months before the claim. Nothing in these terms limits any right or responsibility that the law does not allow to be limited.
12. Changes to these terms
We may update these terms as the service changes. The “last updated” date at the top shows the latest version. If a change is important, we will tell schools in the service or by email. Continuing to use the service after a change means you accept it.
